PART‑TIME HALL MANAGER – DRAFT EMPLOYMENT CONTRACT

Your primary place of work is Azelia Hall, 258 Croydon Road, Beckenham, BR3 4DA.


Some administrative tasks may be carried out from home with prior agreement, but regular and frequent attendance at the Hall is essential to fulfil the duties of the role.



You may be required to attend the Hall at short notice for operational or safety reasons.



4. Hours of Work



· 24 hours per week, normally spread across six days.



· Hours may vary depending on Hall usage, cleaning needs, safety checks, and contractor access.



· You are expected to plan your own working pattern to ensure the Hall is clean, safe, and ready for use at all times.



· Additional hours may be required during busy periods, for which overtime is payable at £18 per hour.



5. Pay



· Salary: £18 per hour, paid monthly in arrears.



· Overtime: £18 per hour, pre‑authorised by the Trustees.



· Annual salary review each April.



6. Duties & Responsibilities


You are responsible for the day‑to‑day management, cleanliness, safety, and readiness of the Community Hall.


Duties include, but are not limited to:



Administration & Communication



· Responding promptly to emails and phone calls.



· Managing bookings using the Trustees’ Google Calendar.



· Liaising with hirers, community groups, and contractors.



· Maintaining accurate records and logs.



Cleaning & Housekeeping (Hands‑On Duties)



· Cleaning the Hall after use, including toilets, kitchen, floors, and touch‑points.



· Setting out and putting away tables and chairs.



· Washing up and ensuring the kitchen is left clean.



· Emptying bins and placing rubbish in the external containers.



· Keeping paths, entrances, and the car park clear and safe.



· Changing clocks twice a year.



· Ensuring the Hall is presentable and ready for each booking.



Building Operations



· Supervising any external cleaners or contractors when used.



· Monitoring supplies and ordering materials as needed.



· Overseeing minor repairs and decorations.



· Reporting major maintenance issues to the Trustees.



Compliance & Safety



· Conducting regular fire safety checks.



· Health & safety inspections.



· CCTV monitoring in accordance with policy.



· Maintaining compliance logs and ensuring statutory checks are up to date.



Holiday Cover



· Ensuring essential duties are covered during periods of leave, either by adjusting your schedule or arranging approved cover.



7. Probation Period


A six‑month probation period applies.


During probation, employment may be terminated with one week’s notice.



8. Holidays


Statutory holiday entitlement applies on a pro‑rata basis.



9. Equipment



· You must use the Hall’s laptop for all work‑related emails, documents, and communications.



· All emails, attachments, and records must be accessible to the Trustees.



· You may use your own mobile phone for calls if preferred, but all Hall‑related communication must be copied or forwarded to the Hall email account.



· You must use the Trustees’ Google Calendar for all bookings and availability.



10. Confidentiality & Data Protection


You must comply with GDPR and the Hall’s data protection policies.



11. Notice Period


After probation, either party may terminate employment with one month’s notice.
